Receptionist Duties (50%)
- Welcoming visitors.
- Proactively process mails and requests and organizing agenda.
- Facility and inventory management.
- Process and validate invoices.
- Organizing meeting rooms and lunches.
- Assist in organizing corporate events (dinner, external meetings...)
- Keep the reception area neat and tidy.
As a personal assistant working in very close relation with our CEO, your main responsibilities are the following ones (50%):
- Pro-active diary management, including organizing meetings, conference calls, etc.
- Assist with correspondence, including drafting letter/email replies
- Arrange internal and external meetings including logistics (catering, printouts…)
- Coordination and organization of all travel aspects
- Data/document management and filing
- Preparation of expense claims
- Other administrative duties, including some personal work
- Work closely together with internal teams (corporate and PA’s)
- Assist the members of the team if needed
Profiel
- Discretion is a must
- Bachelor degree
- Minimum two years of experience as a PA or in the similar field
- Ability to work under pressure and meet tight deadlines
- Ability to adapt in a fast-moving and changing culture
- Excellent oral and written communication skills
- English – native / fluent level is required, a good level of French is required
