Job description

As a Management Assistant you will play a key role in the daily organization of one department.

- Calendar / Agenda management for different levels: scheduling calls and meetings, booking meeting rooms, catering and restaurants, registration of visitors, solving agenda conflicts, etc...

- Monthly reporting - Proactive follow up of different workflows ( Purchase requests, Travel requests, external workforces, Shipment requests, Newcomers, ...)

- Organizing and managing travel arrangements; preparation of key documents including visas, correspondence (invitation letters).

- Management of the different groups document centers and TEAMS Workspaces

- Meeting notes

- Support the organization of different team events

- Be the backup for the colleagues

- Occasional Project work

Profile

You have a Bachelor’s degree or equal by experience.

You have a minimum of 5 years’ experience as a Management Assistant.

Because your internal customers come from all over the world, a good knowledge of English is a must and Dutch nice to have, or notions.

The ability to exercise good judgment in a diversity of situations, strong administrative and organizational skills, great follow-through skills and the ability to maintain a realistic balance among multiple priorities

You have a good command of MS Office applications (Word, Excel, PowerPoint, Outlook, TEAMS,...)

You have excellent organizational skills and a strong sense of responsibility

You are very accurate, proactive, and communicative and you are a real team player.

You are flexible in changing circumstances, and you are resistant to stress.

Discretion in dealing with confidential matters.

Excellent attention to detail; ability to work quickly and accurately under pressure.

Interpersonal understanding and problem-solving ability.

You are available immediately and you can start as soon as possible.

Offer

A fulltime assignment for at least 12 months in a very challenging, dynamic and international environment.

After training remote working is possible as defined in the current COVID measures.
