Your responsibilities
  • invoice management
    • customer invoicing
    • preparation of manual invoices
    • handling of invoicing issues
    • adjustment of CI charges in the event of financial closure
    • pre-invoicing validation
    • formatting and ensuring that files sent to the finance department can be processed automatically
    • verify that the invoicing amounts are identical in SAP and Octopus
    • validation of automatically generated expense lines
    • process mails, tasks and incidents from the "Invoice Management" assignment group
    • management of cost center changes
    • assistance in the understanding of our IT invoicing
    • management of the link between SAP and Octopus concerning WBS’
  • SES processing
    • validate accurate & complete time registration and validation
    • extract timesheet information from the project management tool
    • follow-up on late/missing timesheets for SES creation
    • answer SES related questions from our suppliers

Profile

Are we a match?
  • you have a Bachelor degree or equal by experience
  • one or more relevant professional experiences is a plus
  • SAP user experience
  • ServiceNow user experience
  • strong interest in administrative duties with great accuracy
  • familiar with Office 365 (Outlook, Excel, Word, PowerPoint, …)
  • able to work in a fast-paced environment and juggle multiple requests, internal clients and suppliers
  • be able to report transparently
  • strong ethics, interpersonal skills, and engage in continuous learning
  • demonstrate a logical and methodical approach to working
  • good communication skills, ability to liaise with a wide variety of people and build and establish cooperative working relationships
  • ability to plan, organize and prioritize workload, including coordinating with others
  • strong attention to detail and ability to deliver high quality work with minimal errors
  • proactive, taking initiative and a strong sense of responsibility
  • flexibility in work hours and -place, with a minimum presence of 3 days per week at Brussels office
  • fluent in English, Dutch and French
