Functieomschrijving

As Office Operations Coordinator, you play a key role in the commercial success and operational excellence of imec’ s Automotive sector. You ensure structured processes, efficient office management and smooth collaboration across the teams in our Automotive Sector.What you will do:Sales & Business Operations:You monitor and update the Automotive sales funnel, ensuring dashboards reflect accurate customer interactions.You maintain CRM records with the latest customer feedback and ensure data integrity. You support financial reporting by keeping profit & loss dashboards up-to-date. Process Optimization and Efficiency:You identify opportunities to streamline internal workflows and improve collaboration. You contribute to developing and maintaining reporting structures and dashboards. Office management:You manage calendars, schedule meetings and organize travel arrangements, events and workshops You prepare and facilitate meetings by creating clear agendas, structured notes, decision logs and tracking follow-up actions. You support onboarding of new employees and ensure smooth integration You draft and distribute internal communications to keep our teams informed and aligned.

Profiel

Who you areEducation & Experience Bachelor’s degree in Business Administration, Office Management, or equivalent experience. 3+ years of experience in office coordination and/or business operations. Technical Skills Proficiency in CRM platforms and Microsoft Office Suite (Excel, PowerPoint, Outlook). Familiarity with data dashboards and reporting tools. Skilled at maintaining oversight of financial processes (profit & loss tracking). Core Competencies Organizational Skills: you are able to manage multiple calendars, meetings, and travel arrangements. Attention to Detail: you are strong in data integrity and accurate reporting. Process Improvement Mindset: you enjoy identifying workflow bottlenecks and propose solutions. Communication Skills: you are clear and professional, both in written and verbal communication. Collaboration: You work effectively across teams and new colleagues are lucky to have you for their onboarding. Personal Attributes Proactive and solution oriented. Strong sense of responsibility, friendly and customer focused. Languages Fluent in English; knowledge of Dutch is an asset.
