At Astrape Networks, we’re building the future of sustainable data center solutions. As we scale our organization, we’re looking for an experienced Office Manager who combines a strong hands-on mentality with the ability to build structure, processes, and operational maturity.

This is not a purely supportive role. You will take end-to-end ownership of office operations, acting as the go-to person for everything related to our offices, day-to-day operations, and internal processes. You proactively identify gaps, introduce structure where needed, and ensure our way of working evolves in line with the company’s growth.

You will work closely with the management team, and play a key role in creating a professional, efficient, and well-organized work environment for the entire company.

The role is based in Schelle, with occasional travel to our office in Eindhoven (a few times per month). Fluency in English is required; Dutch is a strong plus.

How You’ll Make an Impact

Office & Operations Ownership

• Take full ownership of office operations in Schelle and support the setup and ongoing needs of the Eindhoven office
• Design, implement, and continuously improve office-related processes, policies, and workflows
• Act as the single point of accountability for all office and facility matters
• Manage suppliers, contracts, office supplies, furniture, maintenance, and services
• Anticipate operational needs and proactively propose improvements as the organization grows

Administrative & Management Support

• Act as a trusted operational partner to the CEO and management team
• Manage calendars and coordinate complex schedules
• Organize internal and external meetings, events, and business visits
• Bring structure and consistency to administrative processes and follow-up

Finance & Operational Administration

• Process incoming invoices and prepare supplier payments in the accounting system
• Own the finance inbox and ensure timely and accurate follow-up
• Support the CFO with operational and administrative finance tasks
• Help professionalize recurring financial and administrative processes

HR & People Operations

• Own and coordinate onboarding processes, ensuring a smooth and professional employee experience
• Schedule interviews and manage candidate communication
• Serve as a first point of contact for employees for practical HR-related questions

Profiel

Who You Are

• You bring extensive, relevant experience in an Office Manager or similar role within a growing or fast-paced environment
• You are a self-starting, independent professional who naturally takes ownership and responsibility
• You are comfortable building structure from scratch and improving existing processes
• You combine strategic thinking with a strong hands-on mentality
• You remain calm, organized, and solution-oriented when priorities change
• You are comfortable with financial administration, invoicing, and operational follow-up
• You operate at Bachelor level or equivalent through experience
• You communicate fluently in English; Dutch is a strong advantage
• You live within reasonable distance of Schelle and are open to occasional travel to Eindhoven
