Meeting & Event Manager - Chemical Industry - Brussels

As the successful Event Manager - you will have the following responsibilities:
- Plan and execute all events focusing on member/participants satisfaction.
- Produce detailed proposals for events including timelines, venues, suppliers and contractors, then negotiate process and onboard. Manage and coordinate suppliers and all event logistics: venue, hotels, catering, travel
- Liaise with sales and marketing to publicize and promote the event.
- Manage all pre-event planning, organizing guest speakers and delegate packs.
- Coordinate suppliers, handle client queries and troubleshoot during the event to ensure that all runs smoothly and to budget.
- Measure and report performance of all events and assess against goals (ROI and KPIs).
- Handle budgeting, invoicing and P&L per event.
- Work closely with the Managing Director
- Management of Team Meeting & Event (2 people currently)
- Source of new Event locations
- Review of current setup of events and suggest improvements Negotiate rates with partners (AV, Catering, Hostesses, Transportation etc. )
- Arrange location and details for opening events and program
- Manage setup and execution of such events in Reservation system andcoordination with external agency
- Provide support by phone and mail to member companies before, during and after the event
- Coordination with speakers regarding travel & hotel arrangements
- Session management in close coordination with internal Senior Advisor and Marketing & Digital Communications Manager
- Preparation of event budgets
- Review of supplier invoices and reconciliation of costs
- Ensure that legal aspects of events are considered (Event T&C, Session content - Compliance laws, Competition laws etc.
Profiel
As the successful Event Manager, you will have the following requirements:
- At least a Bachelor degree within Marketing, Tourism, Business Administration or related field - or equivalent by experience
- Have excellent negotiation and communication skills (internal, external, online and offline).
- Great team work spirit though like to take half your own hands and can work autonomously remaining calm in stressful situations.
- Proven 3-5 years of relevant experience in organization and delivery of physical and online event projects (conferences, meetings, webinars, seminars) with networking and conference activities.
- Fluent in English is mandatory - French or Dutch is required as well - any 3rd language is considered as an asset
- Proficient user f Microsoft Office suite, and have a good knowledge of CRM- and event registration systems (e.g. Idloom, Odoo, Hubspot, Cvent..)
- Highly organized and give attention to detail
- Project and time management skills (good at prioritizing and handling challenging deadlines)
- Problem-solving skills and diplomacy
- Flexible, target-driven and pro-active - willing to travel in Europe
- You are digital-minded but not dependent on AI
