Job description

We are looking for an organized, motivated and dedicated individual to join our team at Paul Dehaen, wholesaler of FMCG. As Trilingual Administrative and Purchasing Employee, you will play an integral role in the daily operations of our business, ensuring that FMCG purchase orders are processed on time. Before placing an order, you will carefully checks purchase orders for accuracy, completeness and clarity. You must verify that product information, packaging information, cost and expiry dates are all correct before obtaining authorization to place an order. You verify current inventory levels before reordering. You note when inventory is low and it is time to order new products.
Work involves initiating purchase requests and keeping track of the stages through which each order is routed until receipt. Work also involves maintaining and improving our relations (by phone) with existing suppliers. Work also involves feeding the master data (ERP), creation of new references and update of prices
You will need to be energetic and willing to learn, with good communication skills, and a desire to negotiate deals on behalf of the business. You enjoy analysing and solving complex offer and have careful attention to details. You do not need specific experience in the industry nor in purchase, but you need to be ready and willing to get stuck in, and complete, time sensitive tasks quickly and effectively. You will work under the direction of our Procurement Manager and will receive full training in the skills required for successful procurement and purchasing. This is a fantastic opportunity for someone who wants to join a highly motivated procurement team.

Profile

  •  2-5 years of previous experience in an administrative function (not necessary in purchase)
  •  Fluent in English and Dutch with good knowledge of French  Strong emphasis on accuracy and details
  • Good time management and organizational/administration skills
  • Knowledge of an ERP and strong experience with Excel
  • Excellent communication skills

Your daily tasks will include: 

  • Working directly with the Procurement Manager to streamline the procurement process 
  • Translate Offer from Supplier into internal standard 
  • Nurture relationships (by phone) with suppliers to obtain the best prices 
  • Producing purchase orders 
  • Track and record purchase orders 
  • Organize and schedule procurements in a timely manner 
  • Creating new references in the Masterdata with description in 3 languages NL-EN-FR 
  • Updating the masterdata with latest price information 
  • Receive, inspects, files damage claims with vendors.
  • Filing, organising, and matching invoices with delivery notes and Purchase Order 
  • Participate in annual on-site inventory
