Secretary - Industrial Affairs Department

Job description

The main responsibilities for this function as a Secretary include:
  • Provide general and administrative support to the team of the Industrial Affairs Department, which comprises the Deputy Director General supervising the department, the Deputy Director and four Advisers;
  • Mailbox and diary management;
  • Management and follow-up of communication with members and third parties: emails, paper correspondence, telephone calls, etc.;
  • Preparation and follow-up of meetings of the Industrial Affairs Committee and its related Working Groups, together with the Deputy DG / policy adviser in charge
  • Organization of larger public events (in-person and hybrid) and webinars;
  • Travel arrangements;
  • Contributing to keeping the database up to date in coordination with the database officer;
  • Welcoming visitors;
  • Monitoring the department's budget;
  • Filing and archiving;
  • Reviewing the formatting of documents prepared by the department e.g. position papers, presentations, etc.

Profile

The requested qualifications for this function as Secretary include:
  • You have a relevant degree and at least 3 years' experience in a similar position;
  • You have excellent spoken and written communication skills in English. Good knowledge of other European languages, e.g. French, would be an asset;
  • You are proficient in IT tools (MS Office, Internet, Communication platforms like Teams, Zoom and Webex);
  • You are a strong team-player, eager to work in an international environment and are used to work with people from different cultures;
  • You are able to handle confidential issues with discretion, tact and diplomacy;
  • You have an excellent presentation and a very professional attitude;
  • You have excellent interpersonal and organisational skills;
  • You are dynamic, proactive, flexible and able to deal with the unexpected.
