For one of its clients, Robert Half is seeking a professional Management Assistant for a permanent position.

Our client, based in the City Center of Brussels, is a leading investment company.

Description de la fonction

In this role, you will provide vital administrative and organizational support to a Partner, a principal, and a small dynamic team within their prestigious Investment Department.

Your responsibilities for this position are as follows:

  • Diary Management: Manage complex and time-consuming calendars for senior executives using Outlook;
  • Meeting & Travel Coordination: Organize numerous meetings and business trips, primarily within Europe;
  • Committee Meeting Support: Assist in the organization of several committee meetings annually and prepare board packs for these sessions;
  • Mail & Email Management: Efficiently handle incoming/outgoing mail and emails for the team;
  • Expense Reporting: Prepare and submit detailed expense reports;
  • Incoming Calls: Filter incoming calls, take messages, and communicate effectively with high-profile external partners;
  • Information Sharing: Collect, organize, and distribute key information to multiple stakeholders;
  • Administrative Duties: Handle varied administrative tasks such as filing, photocopying, and document management;
  • Team Collaboration: Work closely with two other assistants, sharing information, and providing mutual support when needed.

Profil

The desired profile for this position is as follows:

  • Languages: Fluency in French and English is essential;
  • Software: Proficiency in Microsoft Office (Excel, Word, PowerPoint) and Outlook;
  • Skills: Highly organized with excellent time management, attention to detail, and communication skills;
  • Experience: Previous experience supporting senior-level executives in a fast-paced environment is required.
