International environment with a monopoly with the European Commission.  Structure: 4 dpt = Administration, Finance, Exchange Programme, AISBL Training Programme which currently has 32 members who are The Belgian Ministry of Justice, observers/partners (ambassadors, EC, ...). The institution therefore receives Community or national subsidies, and EU subsidies. These are dedicated for operating and project budgets (Erasmus for judges, for example).

Job description

1. Coordination and management of the Working Group Judicial Training Methods seminars, activities and actions

 

  • Reference contact for the Working Group Judicial Training Methods activities and actions;
  • Liaise with Convener / Working Group Members / topical teams / experts / Activity Coordinators  for planning, implementing and ensuring due follow-up of the Working Group Judicial Training Methods activities and actions according to the annual (and multiannual/budget) work plan;
  • Preparation of required documentation (e.g.: seminar programme, promoter form, panel of speakers, registration form, expense claim form, terms and conditions of participation, evaluation form);
  • Communication with members (e.g. participants, cancellations, reserve lists);
  • Correspondence with participants (e.g. logistics, seminar materials, reimbursements);
  • Communication with host institutions (e.g. logistics, procedures);
  • Correspondence with experts (e.g. invitation, expert contracts, logistics, seminar materials, coordination of their communication);
  • Communication with service providers (e.g. catering companies, bus shuttle services, interpreters, restaurants, hotels);
  • Updating the EJTN related website section and resources;
  • Attending and supervising seminars on behalf of the EJTN;
  • Holding short presentations about the EJTN activities;
  • Preparation of statistics (e.g. qualitative and quantitative assessment based on the evaluation forms);
  • Providing follow-up to participants (e.g. distribution the list of contacts, additional materials and reminder on the rules for reimbursements);
  • Preparing reimbursement tables;
  • Coordination of the Working Group Judicial Training Methods resources and Handbooks (assistance to drafting, updates, coordination of experts, etc.).

 

2. Coordination and management of Working Group Judicial Training Methods meetings

 

  • Agenda, promoter form, invitation message - preparation of documents, communication with convener, host;
  • Registration forms and different services, attendance list - preparation of documents, communication with participants, service providers, finance unit ;
  • Documentation of the meeting - papers, web site EN/ FR
  • Minutes - draft, approval by the Secretary General and the Convener, translation, circulate;
  • Action points and decisions follow up;
  • Drafting outcomes of Working Group Judicial Training Methods seminars (statistic evaluation);
  • Preparation of tables for reimbursement of costs.

Profile

  • Bachelor's or Masters Degree
  • Minimum one year of relevant experience in Project Management
  • An excellent knowledge of English and French
