Office Manager

Functieomschrijving

Your mission:

•   Office management: visitors' reception, expense reports, mail handling, management of the office supplies, management of the meeting rooms, organization of meetings and trade shows, invoices…
•   Sales & Customer service support: 
o    General customer service support during peak season 
o    Take off work from customer service representatives to allow them to take care of most of the order management of regular and recurring unit orders
o    Assist the sales team with any support work such as: calling customers monthly to check their needs with them for the rolling forecast, proactively following up in writing on smaller quotes (during peak season from March to July)
o    Marketing support during trade shows
o    Organize sales trips/shows for Area Managers (logistics and visit appointments, hotels, flights, car rentals)
o    Follow up with Area Managers to make sure action item deadlines are observed
o    Handle market surveys by phone and analyze the answers and report the conclusion and /or recommendations
o    Communicate with sales team about validated prospects and their needs
o    Support the sales team with collection calls

 

Profiel

Your profile:
•    You have 2-3 years experience in a similar role
•    You can communicate easily in French, English and Dutch, oral and written. Any additional European language is a plus
•    You have a very good knowledge of Outlook, Word and Excel
Your competencies:
•    You are customer oriented
•    You have administrative, record-keeping, and clerical skills;
•    You can work in a fast and demanding environment in a multitasking mode
•    You have strong interpersonal skills;
•    You can manage priorities and you have an eye for details
•    You are a problem-solver 
•    You are organized and rigorous
