Our client is seeking a proactive, service-oriented Administrative Coordinator and Receptionist to join its headquarters in Wavre, with one day per week in Diegem. This hybrid role combines operational office management with reception duties, playing a central role in creating a welcoming and organized work environment.
Your responsibilities:
Reception & Administrative Support
• Open the office at 8:30 a.m. and manage the front desk
• Welcome visitors and handle calls, mail, and general inquiries
• Coordinate meetings, lunches, and internal events
• Prepare workstations for new hires (badges, access and tools)
Office & Facility Management
• Oversee daily operations of the Wavre and Diegem offices
• Manage office supplies, service contracts, and related budgets
• Ensure clean, safe, and well-maintained offices
• Liaise with cleaning teams, vendors, and the property manager
• Ensure compliance with safety and emergency procedures
Archives & Documentation
• Organize and maintain physical and digital company archives
• Ensure secure storage, retrieval, and compliant archiving practices
• Strong interpersonal skills and adaptability to diverse stakeholders
• Experience managing front desk operations and visitor reception
• Proven coordination of meeting logistics (catering and refreshments)
• Efficient management of office supplies with cost control
• Experience handling administrative requests (business cards and badges)
• Ability to manage vendors and service providers
• Knowledge of workplace safety and compliance standards
• Strong coordination skills for facility maintenance and issue resolution
• Solution-oriented mindset with a customer-focused approach
• Bilingual in French and English

Our client offers:
• A full-time position for approximately 6 months
