Administrative Assistant / Office Manager - Antwerp city!


Receptionist tasks:

  • Welcoming visitors in person
  • Maintaining security by following procedures when issuing visitor badges
  • Answering incoming calls and directing calls to the right colleague
  • Distributing the mail
  • Coordinate the pick-up and delivery of express mail services

General Support/Office Management:

  • General support day to day Antwerp office organization
  • Go to person for general questions
  • Facility management (PO creation & follow up)
  • Organization meetings BE&NL: logistics, catering, materials, registration participants, hotels, etc. (Quarterly sales meetings, LT meetings…)
  • Create purchase orders in SAP
  • Enter and update data of our external contacts in our database
  • Assist in the ordering, receiving, stocking and distribution of office supplies
  • Support other related clerical duties such as photocopying, faxing and filing

Finance & support:

  • PO creation and follow up invoices & payments on general and cross functional budgets
  • Vendor creation

CRM support

  • Database input


  • Bachelor degree

  • Min. 3 years' experience in similar role
  • Excellent communication skills in NL and EN (written and oral). Knowledge of French is an asset
  • Computer literate (MS Office)
  • Team player
  • Customer focused
  • Ability to set own work priorities
  • Good interpersonal skills
  • Dynamic, proactive and flexible

  • Strong organization skills

  • SAP knowledge is a plus
