Located in the beautiful town of Tervuren, near the university city of Leuven, BSB is a not for profit, inclusive fee-paying international school with 1,350 students from approximately 70 countries. There is an Early Childhood Centre for children aged 1-3. Our Primary School offers a bespoke curriculum with integrated learning themes that are inquiry based and skills driven. Whilst British-based, it is uniquely adapted to the needs of our international and multicultural student body. Students in Year 10 & 11 study for (I)GCSE and BTEC courses. Post-16 students can choose from three internationally recognised pre-university examination courses: English A Levels, International Baccalaureate (IB) Diploma or BTEC. BSB has outstanding facilities and is the only international school in Belgium to have its own 25m indoor swimming pool. With an excellent record of academic achievement, BSB students go on to attend a wide range of top universities across the globe.

Purpose of the role:
To contribute to a vibrant and busy department, ensuring that all administrative Enrichment, including Drama requirements are dealt with efficiently and effectively and that relevant compliance issues are fulfilled. To act as the first point of contact for all Enrichment related enquires. 

Areas of responsibility:
  • Maintain the calendar of all Enrichment activities both sporting and non-sporting to include music and drama to avoid clashes under the direction of the Enrichment Coordinator and in liaison with the Music department.
  • Provide administrative support to the Head of Enrichment, Faculty Leader PE and Enrichment and the Department Leader of Drama
  • Provide all clerical and administrative procedures for Enrichment (as directed by the Head of Enrichment, Department Leader of Drama or the Faculty Leader PE & Enrichment)
  • Assist the Department Leader of Drama in preparation of concerts, productions and special events
  • Handle general enquiries by parents, students, staff and external parties.
  • Prepare publicity, programmes, tickets and other information relating to all Enrichment activities.
  • Deliver the highest standard of customer service when dealing with enquires either on the telephone, in writing or in person.
  • Ensure good relationships with clubs, leagues, schools and other external organisations with whom we work in partnership in sporting or other activities.
  • Take and distribute minutes in Enrichment or PE meetings and maintain accurate records.
  • Provide administrative support to the Drama Department in liaison with the Department Leader of Drama.
  • In liaison with others, ensure that the arrangements for activities and events are conducted professionally, in a timely manner, adhering to school policies and guidelines, communicated to all relevant parties both at BSB and away:
    • Ensure all facilities are booked and prepared
    • booking of travel, accommodation and travel payment process for Enrichment and Drama trips and visitors to the school
    • housing and hosting families of visiting athletes
    • catering and refreshments
    • kit and equipment
    • correct staffing including referees
    • first aid kits and first aiders/helpers at the fixtures
    • security booked
    • all necessary administrative documentation (including school trip procedures) is submitted to the relevant people following the timeline given
    • Liaise with Costume Department team
The post-holder may be required to perform duties other than those given in the job description for the post. The particular duties and responsibilities may vary from time to time without changing the general character of the duties or the level of responsibility entailed.



  • Secretarial / Administrative qualifications
  • High degree of competence in all Microsoft Office packages.
  • Minimum 4 years in a similar administrative role.
  • Experience in working in a team
  • Ability to set priorities, work to deadlines and achieve desired outcomes
  • Competent IT skills with a good knowledge of Microsoft Office, particularly Excel and an ability to pick up in-house systems quickly and easily
  • Excellent interpersonal and communication skills
  • Efficient, dynamic, flexible and self-motivated
  • Able to work in a busy open-office environment
  • Flexible approach to time of work
  • Ability to draft high quality communications and programmes in English
  • Ability to work on own initiative as well as part of a teamAbility to produce creative and innovative ideas
  • An organised approach with excellent time management skills and attention to detail
  • English to native speaker level
  • Knowledge of Dutch and/or French would strengthen the application, as would relevant experience in school related environment, although neither of these are essential

  • Full-time, permanent post (37.5 hours per week including some flexi-hours for outside of normal school hours events)
  • School hours are 08.00 - 16.30
  • Full obligation to attend all staff meetings and training workshops.

  • The post holder will be expected to undertake any appropriate training provided by the school to assist them in carrying out any of the above duties.
  • This appointment is subject to DBS clearance and 3 references.
