Description de la fonction
As an administrative support you will be responsible for:
- Welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person and meeting room
- Answer, screen and forward incoming phone calls
- Provide basic and accurate information in-person and via phone/email
- Maintain polite and professional communication via phone, e-mail, and mail.
- Receive, sort and distribute daily mail/deliveries
- Prepare meeting rooms and ensure the rooms are tidy and presentable, with all necessary stationery and materials
- Maintain office security by following safety procedures and controlling access by being in contact with the ground floor reception desk and Regus reception desk at the 7th floor
- Order front office supplies and keep inventory of stock
- Update calendars and schedule meetings
- Perform other clerical receptionist duties such as filing, photocopying
- Arrange travel and accommodations
- Keep updated records of office expenses and costs
- Provide back up support for other assistants during vacation periods
- Provide ad hoc administrative support to the team
- Occasionally provide support during evening activities (team events, meetings, dinners, …)
As Administrative Support you have:
- You have a high school degree in administration
- Additional certification in office is a plus
- Excellent organizational skills
- Proficiency in Microsoft Office Suite
- GMP experience
- Hands-on experience with office equipment (e.g. laptops, printers)
- Professional attitude and appearance
- Solid written and verbal communication skills in English and dutch
- Multitasking and time-management skills, with the ability to prioritize tasks
- Desire to be proactive and create a positive experience for others.
