Job description

As a Polyvalent Administrative Assistant , you will have to:

  • handle administrative queries from employees and managers + Assist the HR team (administrative tasks)

  • answer phone calls and manage the general mailbox

  • Ensure the maintenance of the client database

  • organise and schedule appointments within an admin software

  • Prepare the meetings for the managers and take the minutes

  • Ensure proper contracting and registration for new and existing employees

  • write and distribute emails or fax forms

  • Assist in the preparation of scheduled reports

The office part of the job implies:

  • Manage all office furnishing

  • order office supplies and research new suppliers

  • welcome customers and direct them to the appropriate room or manager

  • check and manage all items related to safety and emergency


The successful Polyvalent Administrative Assistant , is/have:

  • Excellent level of French and Dutch is mandatory, fluent level in English is required

  • a proven experience as an administrative assistant or office management

  • proficient in MS Office (Excel, word and PowerPoint)

  • Excellent time management skills and the ability to prioritise tasks

  • excellent written and verbal communication skills
