Office Manager and Administrative Assistant with English and French
General Office Management:
Screening phone calls, enquiries and requests, and handling them when appropriate;
Dealing with incoming email and post;
Keeping the office agenda (meetings, travel and holiday of staff);
Keeping the database of addresses;
Booking travel and accommodation, technical assistance for staff;
Providing logistical support for internal and international meetings;
Organizing the office layout and ordering stationery and equipment;
Maintaining the office condition and arranging necessary repairs.
Accounting and HR, which includes:
Assisting the finance officer;
Managing office budget and ensure accurate and timely reporting;
Managing contract with office vendors, service providers and office lease;
Liaising with the social secretariat for issues connected to personnel files.
Certified secondary-level education and secretarial training;
Excellent knowledge of the standard computer tools (Word, Excel, Powerpoint);
Excellent knowledge of written and spoken English and French;
Knowledge of Italian or German and other EU languages would be considered an advantage;
Experience/training in translation would be considered an advantage;
Basic knowledge of Belgian administration, employment law & payroll;
Knowledge of the Catholic hierarchical structures.
