Manager, Finance and Administration

Job description

Reports To: VP Finance 

Location: Antwerp, Belgium 

Classification: Full-time salary



Overall Responsibility:

The Finance and Administration Manager of Anju Software's office in Antwerp oversees all daily financial transactions, handles recordkeeping, and internal reporting. This position also supports the company’s HR needs.

Key Responsibilities:


1. Financial Management:
  • Serve as the primary contact for the outsourced bookkeeping and payroll
  • Prepare monthly payroll for all Belgian and international staff
  • Assist with the preparation of monthly financial reports for HQ
  • Process all vendor payments and staff reimbursements
  • Maintain organizational filing systems for financial backup documentation
  • Provide data for quarterly, monthly and annual reports for various stakeholders
  • Help ensure proper fiscal controls are in place
  • Manage client and supplier contracts; ensure invoicing follows timelines and procedures

2. Human Resources:
  • Track staff attendance and vacations
  • Coordinate new hire paperwork and administrative onboarding of new staff
  • Maintain personnel files, ensuring they are complete and up-to-date
  • Field HR and Finance-related questions from employees

3. General:
  • Manage organization’s insurance policies (general liability, worker's compensation, etc.); handle annual insurance audits, policy changes, and research of new policies
  • Manage vendor accounts for utilities, supplies, and professional services

Profile

  • Bachelor’s degree in accounting, business management, or other related field
  • 3-5 years’ experience in operations, finance, and/or HR
  • Demonstrated knowledge and experience applying Belgian accounting legislation as well as Generally Accepted Accounting Principles (GAAP)
  • Strong communication, professional presence, personal initiative, and diplomatic inter-personal skills
  • Ability to remain highly organized with a strong attention to detail
  • Fluent in Dutch and English
