Legal Personal Assistant with proficient English (FR is an asset)
Organise and prioritise workload and keep a level headed approach in a busy working environment
Effectively manage lawyers' Outlook, including email filing and calendar
Take accurate and comprehensive telephone messages for lawyers in line with the firm's guidance on telephone and voicemail, and deal with queries from internal or external callers helpfully and professionally
Arrange conference calls, lunches, travel and help with the preparation of internal and external meetings and events
Maintain up-to-date filing systems to allow lawyers to find and use documents easily and efficiently and also assist with document management including the storing/archiving of files
Pro-actively manage lawyers' client details and contacts using InterAction, the firm's contact database
Photocopy, scan, print and bind documents as required
Assist lawyers with the production of client bills and follow up on outstanding bills with clients' administration
Ensure that lawyers' time is entered on Carpe Diem
Prepare and follow up on lawyers' expense notesProduce accurate well-presented documents in line with the firm's house style from unformatted text using Word, PowerPoint, Excel
You have excellent English, French is a plus
You have ideally already a first experience as administrative assistant in a legal firm
You are organized, structured and helpful
You have upper intermediate to good skills in Microsoft office
You are flexible and like to multitask
You like working in an international setting, and be in contact with lawyers from other offices.
