Job description

Office & administration:
  • Welcome clients and visitors to the office/plant and assist them as needed;
  • Support office workflow procedures to ensure maximum efficiency;
  • Suggest changes to office workflow in order to improve efficiency;
  • Maintain a clean and organized office environment;
  • Support general bookkeeping duties (petit cash, expense reports, invoices, …);
  • Support files and records with effective filing systems;
  • Monitor office/kitchen/cleaning supplies inventory and place orders when needed;
  • Reserve spaces for meetings;
  • Responsible for all kind of meeting needs such as lunch and drinks;
  • Schedule agendas / travel and lunch arrangements / appointments etc.
  • Notify and remind all parties of upcoming events, lunches, meetings etc.
  • Assist in vendor relationship management ( bookings in SAP);
  • Responsable for collecting and posting letters;
  • Support Senior executives when necessary;
  • Manage and maintain pool cars;
Travel assistance:
  • Arrange travel and accommodation for employees and company guests.
  • Serve as a general resource and point of contact for travel-related issues; assist employees with travel-related issues or concerns.
  • Act to ensure safe and efficient travel operations, in accordance with organizational policies and guidelines.
  • Receive and respond to incoming travel requests on behalf of the organization.
  • Perform special projects and assignments as directed.
  • Drive continuous improvement of travel programs and compliance to policies.

Profile

Experience / Knowledge
  • +2 years of experience in administrative positions/departments (preferably in office administration);
  • Hands on experience with “back-office” and accounting software (preferably SAP);
  • Basic knowledge of bookkeeping and office management systems and procedures;
  • Effective verbal and written communication skills both in English and Dutch. Spanish, German and French is a plus;
  • Outstanding communication and interpersonal skills and the ability to work effectively in a diverse environment;
  • Excellent administration, organizational, and time management skills;
  • Ability to work under deadlines and time constraints;
  • Multi-tasking attitude;
  • Accuracy & attention to detail;
  • Proactive problem solver;
  • Ambitious and a quick learner;
