Job description

The Office Administrator will assist in marketing & sales departments in the day by day activities listed below as well as the day to day management of the Chief Commercial Officer.

The main activities envisioned for this person would be:

  • Coordination of our active participation to congresses: maintaining annual catalogue of events, receiving and sorting requests, coordinating our attendance to virtual events and physical booths, support in the preparation of our presentations, organize travel and accommodation (when they resume), monitor budget
  • Coordination of UTEC’s publications, including the various writing and revision steps, monitoring the deadlines, etc
  • Creating and monitoring Purchase Orders
  • Agenda organization, travel coordination, etc for the Director of Marketing team. 
  • And depending on their skills and motivation, potential bigger involvement in sales or marketing support 


Who are you:

  • You have an excellent knowledge of French AND English
  • Excellent organizational skills, proactif and dynamic 
  • Dedication to delivering high quality work

  • Flexibility
  • Proficient with technology
  • Communicate with ease at all levels of the organization
  • Excellent communication skills, able to channel messages across the organization, especially when tight procedures or strict rules are to be followed
  • You have a car licence B to move between two offices (Nivelles and Woluwe Saint Pierre).
