Job description

Candidate Profile
As the first point of contact for HR a professional individual who is keen to provide high quality and proactive generalist support to the local team. A solid understanding of Belgium employment legislation and proven experience in a HR advisory capacity. The suitable candidate will be calm under pressure thorough possess excellent attention to detail organised self-managing and pragmatic.

? Advise on company standards and respond to general HR enquiries.
? Provide advice and assistance on company benefits policies and procedures to employees and managers.
? Periodically review the working rule agreement (règlement de travail). Advise the HRBP of any required changes to be filed and approved by relevant social partners.
? Support the HRBP execute any changes to the working rule agreement as well as creating additional policy and guidance documents as applicable.
? Support line managers in handling conversations in relation to performance conduct & capability.
? Prepare and conduct formal meetings (grievance disciplinary dismissal redundancy) including minute taking co-ordination of correspondence and communication when required.
? Address general queries from Secondees regarding UK and Belgium policies and procedures. Using initiative to either respond to queries or direct employees to the appropriate subject matter expert i.e. HRBP Global Mobility HR Shared Service in the UK Compliance and Finance etc.
? Working with the Compliance team to monitor working time of our employees in accordance with the working time regulations and company rules. Alerting the HRBP and Line Manager with any concerns.
? Key liaison with Mensura our external Occupational Health Service ensuring we meet all legal requirements.
? Responsible for all facets of local HR administration in Belgium including but not limited to; raising employment offers processing new starter documentation employee promotions transfers reward and recognition changes and leaver documentation.
? Update and maintain the HR Database with new starters leavers and employee changes. Ensuring all manual and electronic employee records are kept up to date.
? Update relevant departments with new starter changes and leaver information as appropriate.
? Organise and conduct new starters inductions.
? Log and monitor visa and work permit requirements.
? Ensure the monthly payroll is processed timely and accurately and resolve any payroll issues.
? Ensure employee absence is correctly logged and relevant documentation is received. Advise managers and employees of appropriate procedures to be followed and promote employee well-being.
? Conduct 12-week HR Probationary reviews (for secondees) and 12-week Catch-Up reviews (for local employees)
? Conduct exit interviews.
? Support the HRBP and Talent Acquisition team with recruitment process as and when required.
? Supporting the Finance team with the annual Bilan report.
? Assist the HRBP with the execution of HR initiatives.
? Deputise for the HRBP in their absence
? Undertake any other duties as reasonably required

Additional duties

This role will also be the assigned as the ?Person of Trust? for us. (Full training will be given).
? To be available in the event of relational sufferings at work.
? Responsible to inform listen advise and help workers to find a solution to the problematic situation.
? On request organise a conciliation between the different parties or intervene with a third party.
? The person of trust is competent for all psychosocial risks at work but only for the informal part.

Profile

Skills & Experiences
? Educated at degree level in either Business and/or Human Resources
? Qualified HR generalist preferably with 2-3 years post qualification experience in an HR advisory capacity
? Able to demonstrate practical knowledge of social legislation
? Willing to learn ability to absorb knowledge and use their initiative
? Excellent organisational and time management skills
? Keen eye for attention to detail and accuracy in delivery a high-quality service
? IT Systems oriented who can easily grasp understanding of the HR system (Ciphr)
? Excellent writing skills when constructing letters emails and correspondences
? Able to work to deadlines with focus on results and quality of service
? Focused on promoting best practice in line with Company Policy and Procedures.
? Pleasant and confident telephone manner
? Methodical and proactive approach to duties
? Proficient knowledge of Word Excel and Outlook
? Excellent standard of both written and spoken English and French (essential)

? Ability to communicate clearly and effectively with staff at all levels
? Ability to remain resilient calm and measured particularly during busy periods and when dealing with conflicting priorities.
? Ability to be self-starting and independent as well as self-motivated
? Process driven who understands the sequence of actions necessary in execution
