For our client located in Brussels we are looking for an HR & Administration Specialist:

HR & Administration Specialist

Job description

As a HR & Admin Specialist you will report to the General Manager and you will be responsible for a variety of tasks linked to the smooth running of the daily operations of the office.

Your key responsibilities will include:

HR Tasks:

  • Preparing and issuing Consultancy Service Agreements and employment contracts for the companies Seconded and Directly Employed Staff in liaison with Legal Manager,
  • Preparing Amendments to Consultancy Service Agreements and Employment Contracts,
  • Preparing Salary Simulations (incl. benefits) before hiring potential candidates in line with Belgian employment rules, negotiating contract details,
  • Monitor changes in Staff, preparing the Staff Budget, checking the end of contract periods for seconded employees,
  • Administration of personal files including maintenance of HR database,
  • Preparing and placing vacancy advertisements, screening the received CVs, setting up interviews, informing Candidates about outcome of the Interview,
  • Contact Person between the company and Members explaining secondment rules, collecting Limosa certificate, explaining the basics of tax rules,
  • Providing explanation to Staff Regarding the companies policies and updates,
  • Administration of Staff Holidays, Sick Leaves and other Absences,
  • Preparing monthly payments of Salary and bonuses, inputting the data in payroll system (SD Worx),
  • Liaising with Payroll Company (SD Worx) in case of closing the contracts and other HR issues,
  • Organising trainings and Team Building activities for employees.

Admin tasks:

  • Organising all aspects of the Finance Committee meetings in cooperation with external Accountant, and other meetings with Senior Assistants,
  • Preparing and distributing documents, including minutes, relating to Financial Committee,
  • Maintaining an archive for Finance Committee documents,
  • Supporting Senior Assistant in organising Board Meetings and General Assembly Meetings,
  • Performing additional tasks as assigned by the supervisor

Profile

Qualification and skills needed

  • Bachelor or Master degree in human resources, Administration or Social Science.
  • At least 2-4 years of work experience in HR and Admin preferable within an association. Familiar with the Brussels environment.
  • Management of employment relations (HR) and thorough knowledge of the Belgian employment Law.
  • Fluency in English (working language) and French,
  • very good analytical and evaluative skills,
  • excellent organizational skills, the ability to prioritize tasks and to stick to fixed time schedules;
  • Motivated, outgoing, positive team player, able to work equally well independently and in small teams.
  • You like to take responsibility and are able to organize yourself,
  • You have high quality standards and an attention to detail,
  • You are a team player, attentive to details, proactive, a clear communicator, and willing to learn.
  • Keen to work in a multicultural environment with people from a broad range of backgrounds and skill sets.
