English speaking Team Player for international law firm ( M/F)

Job description

The jobholder will spend their time providing a PA, secretarial service to the partners and fee-earners providing general administrative support to the team in a busy and deadline-driven environment. The role requires someone who is a self-starter and able to manage their time and workload effectively for the people they support. The role has a mixture of PA, secretarial and administration content. The role requires a high level of organisation, with excellent attention to detail and ability to prioritise a range of competing tasks.

 

Principal Tasks: 

  • Produce and work with correspondence and documentation, using a variety of packages to include Microsoft Word, Outlook, PowerPoint, Excel, Mail merge;
  • Diary management to include arranging meetings/video conferences and conference;
  • Extensive billing and associated tasks to include managing and taking responsibility for the invoicing process for all matters across the group, being responsible for managing disbursements, the timely preparation and dispatch of bills, checking the bills each month and liaising with members of the team and the Accounts team to ensure that the process is completed correctly within the timescales provided;
  • Organising travel which may require visas and produce full itineraries;
  • Regularly checking and dealing with emails especially when the Partners/Fee Earners are travelling;
  • Having an understanding of all current cases within the team and be proactive to provide support to each fee earner;
  • Screening telephone calls and assisting/delegating, as appropriate;
  • Dealing with all expenses;
  • Dealing with all matters associated with the inception of new clients to include completing: conflict checks/business intake forms/money laundering procedures/opening new clients/matters on our Elite system.

Profile

  • You have obtained a Bachelor degree Office / Business Management;
  • A relevant working experience of 5 years or more;
  • An excellent knowledge of  English ,Dutch & French is a necessity, both written and spoken;
  • You have a very extensive knowledge of MS office applications (Word, Excel, PowerPoint, Outlook, etc.);
  • You are very accurate, proactive thinking, communicative and polite;
  • You have excellent organizational skills and a strong sense of responsibility;
  • You are looking for a dynamic environment with lots of opportunities to grow;
  • You are capable to handle all contacts and information with the required diplomacy and discretion.
