Job description

As a Legal assistant, you will be responsible for providing efficient administrative and billing support to a specific department. You will ensure that the department functions effectively, enabling the achievement of objectives. This role reports to the Head of department.

MAIN DUTIES AND RESPONSIBILITIES

  • Provide administrative support to fee earners, and assist the rest of the team where needed (15% of your time)
  • Prepare and issue fee earners invoices on a monthly basis, using appropriate precedents and templates to accurately reflect fee earners instructions
  • Resolve billing issues by liaising with internal and external customers
  • Follow up on payments, making sure unpaid invoices are paid by interacting with the client in a positive and professional manner
  • Gather, record and examine all parameters of client engagements from international or local clients (via partners, other offices or local counsels), including client-specific billing guidelines (discounts, payment risk and billing timeframes/deadlines)
  • Manage diaries to ensure key dates are adhered to
  • Provide overall administrative support such as preparing presentation materials, court files and associated documentation

Profile

  • Previous experience in a secretarial role with billing responsibilities
  • Fluent command of English and Dutch, French is an asset
  • Excellent organisational skills with the ability to manage a busy workload
  • Intermediate to advanced skills in MS Word, Excel and Outlook
  • Good analytical skills and comfortable working with numbers and large data sets
  • Detail oriented, organised, communicative and good interpersonal skills
  • Focused on delivering excellent client service
