We are seeking an immediately available Facilities Assistant for our office in Brussels.
We are seeking a Facilities Assistant to join the team looking after the day to day running of the building.
Reporting to the Assistant Facilities Manager, this role provides general facilities support service to the Brussels site.

As Facilities Assistant, you will be responsible for:
- Sorting and distributing incoming daily post and courier deliveries
- Arranging courier collection for special packages
- Ordering stationery and supplies as required
- General office administration, filing and correspondence, as required
- Providing cover for receptionist at lunchtimes, early/late shift + holidays
- Ordering consumables for office
- Managing petty cash and liaising with Finance
- Arranging Assisting with Document store management
- Managing all security systems and badges
- Preparing and submitting monthly reports (where applicable)
- Ensuring that all Facilities policies and procedures are followed
- Acting as first point of contact for Facilities enquiries, ensuring escalation to appropriate levels
- Assisting with booking and setting up meeting rooms and training events
- Assisting with space planning and staff relocation within the office
- Assisting with ad-hoc projects.
- Contract Management and regular follow up with vendors
- Requesting price offers and busget following purchasing procedure
- Resolving issues on day to day business
- The successful candidate will have strong administration experience and a
- proactive attitude. Experience of a facilities or office administrator role will be advantageous.
- Ability to work closely within a small facilities team with two colleagues to provide a first rate service within this friendly office.
